Set the schedule once, and ProbeList will remind you about upcoming inspections, checkups, and maintenance work.
Manage inspection locations, equipment, and recurring responsibilities without the chaos of spreadsheets, emails, and notes.
See what was completed, when, and for whom. Always have the full context before the next visit or client interaction.
ProbeList lets you schedule inspections that repeat at a set interval. You set the date of the nearest check and the interval at which it returns: in days, weeks, months, or years. A check performed every week and an inspection every five years can sit side by side in one system, without two separate calendars.
Every inspection has a status: pending, upcoming, overdue, or cancelled. The status filter shows what needs a response first. The dashboard gathers the nearest inspections, and the calendar in month or agenda layout shows how they are spread over time.
Reminders are sent by email based on the schedules you configure. The Free plan includes basic reminders, while the Basic and Premium plans include advanced reminders with customizable intervals. They serve you and your team as a signal that a due date is approaching.
Every inspection in ProbeList has a status, a due date, a frequency, and a number of past executions. For each location you see the last result and the date of the next inspection.
For an inspection you can record and review, among other things:
Set up a task list for each inspection to capture the results you will need at the next visit.
A location can be a client, a building, a restaurant venue, or any place where something needs inspecting. For a location you record the address, a contact person, a phone number, an email, and notes, for example about access or opening hours.
Equipment and installations are entered as inspection items. Each can have a brand, a serial number, and its own note, so when you report a fault or order a part you do not have to dig through old messages for the details.
Filters by location, assigned person, status, and dates let you narrow the list quickly, for example to the overdue inspections of one client.
You can invite colleagues to the workspace with the administrator, inspector, or observer role. You assign an inspection to a specific person, so it is clear who is responsible for carrying it out and recording the result.
When someone goes on leave or leaves the company, you change the assignment, and the history of completed inspections stays with the location. Before you invite a new person, check what data will be visible to them in the workspace.
After each inspection you record the result, the date, and the inspector. The history is available on the location: it covers 3 years on the Basic plan and 8 years on the Premium plan. When a client, a board, or an owner asks about the last inspection, the answer is at hand.
Data is protected with SSL encryption and regular backups, and stored in European data centers.
ProbeList is a tool for due dates, history, and teamwork. It does not issue quotes or invoices, does not keep accounts, and does not contact your clients for you. Nor does it judge which inspections are mandatory: you agree the scope and frequency with contractors, in line with manufacturers’ recommendations and regulations.
You still keep reports and documents in your own archive. In the app you record the dates, results, people, and notes that lead to them.
