Set up your first inspection in ProbeList
Add a location and its equipment, choose how often inspections repeat, and record results after each visit. Follow the steps below to get started.
Managing inspections across several buildings?
Every location has different deadlines and requirements. Here’s how ProbeList helps organize your everyday work.
-
Add your locations
Add the buildings you look after and assign the equipment that needs regular inspections to each one.
-
Set recurring dates
Plan an installation check in one building and ventilation maintenance in another. Set the dates and frequency.
-
Get reminders
An email reminder helps you prepare for the upcoming inspection and plan your visit.
-
Record inspection results
After the visit, record the results. Before the next inspection, review the work history for that location.
Several buildings, different deadlines
You look after two buildings. One needs an installation check, the other ventilation maintenance. In ProbeList every location has its own equipment, dates, and frequency, so you do not have to remember what is due and when.
Before the deadline you get an email reminder. After the visit you record the result, and before the next inspection you have the work history for that location at hand.
What exactly you do in each of the four steps
1. Add locations
You create a location with an address, a contact person, a phone number, an email, and notes. Then you add inspection items, meaning equipment and installations, with a brand, a serial number, and a short description of where they are.
2. Set recurring dates
For each inspection you enter the date of the nearest check, choose a frequency in days, weeks, months, or years, and build a task list. A task can be a Yes / No question or a field with a numeric value, such as a temperature reading.
3. Get reminders
An email reminder signals an approaching date, and in the app you see the statuses: pending, upcoming, overdue, and cancelled. The dashboard and the calendar in month or agenda layout help you plan visits in advance.
4. Record results
After the inspection you enter the result, the date, and the inspector. The next date follows from the frequency you set, and the history stays with the location, so before the next visit you know what was done last time.
How to split the work between several people
You invite colleagues to the workspace with the administrator, inspector, or observer role. You assign inspections to inspectors, and filters by person show the inspections assigned to each person.
That way the company owner sees the whole picture, while a technician or technical employee enters results only where they are responsible for the inspection.
How to try ProbeList on your own data
The free plan needs no credit card and covers two locations, five inspection items, and ten active inspections. That is enough to rehearse the whole workflow:
- create an account and add two locations, for example a building and a client
- add a few pieces of equipment as inspection items
- create an inspection with a due date, a frequency, and a task list
- assign a responsible person and turn on email reminders
- record the result of the first inspection and check the location’s history
If the cycle suits you, move to a higher plan when you have more locations and inspections. You can change plans at any time.
